Hide Certain Contact Records

Posted by Deborah on September 18, 2007

If you want to prevent some users from seeing specific contact records there is a way to “curtain” that record. This can be used for sales reps to only see their own contacts as well as employee records to only be seen by management.

Each contact record is Owned by a user or group. By default, a new record is owned by Public and all records are visible. If you want to change the ownership go to Edit\Record Properties\Record Related Settings. You can change to user or a user group. (To create a user group go to File\Configure\User Groups.)

Under the Ownership selection are choices for Curtaining. The definitions follow:

None: User can see all contact information.

Semi-partial (hide tabs): Hides Tabs but you see the upper 4 quadrants (Versions 6 and 7)

Partial: Hides the bottom 2 quadrants and tabs, they will only see the name and phone numbers.

Complete: Hides the contact record completely.
